1. Introduction

This Privacy Policy explains how Hook & Line Field Management Services (“Hook & Line,” “we,” “us,” or “our”) collects, uses, discloses, and protects information in connection with the Hook & Line field-management software and website at hookandlinefms.com (the “Service”). By creating an account or using the Service, you agree to this Policy.

The Service is a business-to-business tool used by trades and field-service companies (each a “Customer”) to manage their own operations. This Policy covers two groups: (a) the account holders and staff who use the Service (“Users”), and (b) the end customers, clients, and job information that a Customer chooses to enter into the Service (“Customer Data”).

2. Information We Collect

2.1 Information you provide

Account information: name, email address, phone number, business name, and password when you register or are invited to a workspace. Business and Customer Data: clients, properties, quotes, invoices, job sheets, schedules, worker records, pay rates, notes, photos, and similar records that you or your team enter. You are responsible for having the appropriate rights and consents to enter any personal information about your own clients or workers.

2.2 Payment information

Subscription payments are processed by Stripe, Inc. We do not store your full card number; Stripe collects and processes card and bank details under its own privacy policy. Where a Customer connects their own Stripe account to collect payments from their clients, those payments flow directly to the Customer’s Stripe account and are governed by Stripe’s terms.

2.3 Usage, device, and analytics information

We use Google Analytics for Firebase (a Google service) to understand how the Service is used. This automatically collects information such as your IP address, device and browser type, operating system, app and page interactions, approximate location derived from IP, and unique identifiers stored on your device or in local storage. This data helps us measure performance, fix problems, and improve features. Google processes this information under Google’s Privacy Policy (policies.google.com/privacy). You can learn about Google Analytics data practices and opt-out options at policies.google.com/technologies/partner-sites.

2.4 Log and security data

Our infrastructure automatically records technical logs (timestamps, request metadata, error data, and security events such as sign-ins and access changes) to operate, secure, and troubleshoot the Service.

3. How We Use Information

We use information to: provide, operate, and maintain the Service; authenticate users and protect accounts; process subscription payments; send transactional messages (invites, quotes, invoices, receipts, security and account notices) via our email provider, Resend; provide support; monitor, analyze, and improve performance and features; detect, prevent, and respond to fraud, abuse, and security incidents; and comply with legal obligations.

4. Cookies and Similar Technologies

The Service uses cookies, local storage, and similar technologies for authentication (keeping you signed in) and for analytics as described above. You can control cookies through your browser settings, but disabling them may affect core functionality such as staying logged in.

5. How We Share Information

We do not sell your personal information. We share information only as follows: (a) with service providers and sub-processors who help us run the Service, namely Google (Firebase hosting, database, authentication, and analytics), Stripe (payments), and Resend (email delivery), each bound to protect the information; (b) within your own workspace, where information you enter is visible to authorized users of that same Customer account according to their roles; (c) as required by law, legal process, or to protect rights, safety, and security; and (d) in connection with a merger, acquisition, or sale of assets, subject to this Policy.

Our access controls are designed so that one Customer’s workspace cannot access another Customer’s data.

6. Data Storage and Security

Data is stored on Google Cloud / Firebase infrastructure in the United States. We use reasonable administrative, technical, and organizational safeguards, including encryption of data in transit, server-side access controls, credential management, and access revocation. However, no method of transmission or storage is completely secure, and we cannot and do not guarantee absolute security. You are responsible for maintaining the confidentiality of your login credentials and for enabling available account protections.

7. Data Retention

We retain account and Customer Data for as long as your account is active and as needed to provide the Service. After account closure, we may retain data for a commercially reasonable period to comply with legal, tax, accounting, and security obligations, after which it is deleted or de-identified. You may request deletion as described below.

8. Your Rights and Choices

Depending on where you live, you may have rights to access, correct, delete, or export your personal information, to object to or restrict certain processing, and to opt out of certain data uses. To exercise these rights, contact us at info@hookandlinefms.com. Customers acting as the controller of their clients’ data are responsible for responding to their own clients’ requests; we will assist as a processor where required. We will not discriminate against you for exercising these rights.

9. Children’s Privacy

The Service is intended for businesses and is not directed to individuals under 18. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

10. International Users

The Service is operated from the United States and intended for U.S. users. If you access it from outside the United States, you consent to the transfer and processing of your information in the United States.

11. Changes to This Policy

We may update this Policy from time to time. We will post the updated version with a new effective date and, where appropriate, notify you. Your continued use of the Service after changes take effect constitutes acceptance.
